Our client is a leading logistics company dedicated to delivering excellence in shipping and supply chain solutions. They are seeking a detail-oriented and experienced Executive Assistant cum Human Resources Officer to join their dynamic team.
Position Overview:
The Executive Assistant cum HRO will support the efficient functioning of the organization by providing comprehensive administrative assistance to the CEO and managing various HR responsibilities. This role requires a strong understanding of Human Resource principles, practices, and regulations.
Main Responsibilities:
• Diary and Schedule Management: Manage the CEO’s diary and appointment schedule, organize meetings, and provide timely reminders.
• Communication Management: Handle incoming calls and screen visitors to the CEO’s office.
• Mail Distribution: Distribute all incoming and outgoing mail to relevant departments within the organization.
• Correspondence Assistance: Assist the CEO with correspondence, reports, and board papers, including transcription, formatting, editing, and proofreading.
• Meeting and Event Coordination: Coordinate meetings and events, including reserving conference space and arranging necessary supplies and catering.
• Follow-up with Department Heads: Ensure timely completion of assignments by following up with department heads.
• Travel Arrangements: Arrange local and international travel for the board, management, and staff.
• Liaison Role: Serve as a liaison between the CEO and the board, ensuring effective communication.
• Office Coordination: Coordinate with administration for office maintenance, cleaning, messenger services, and transportation.
• Filing and Records Management: Maintain organized filing and retrieval systems for records in the CEO’s office and manage society documents and reports.
• Information Flow: Facilitate the flow of information to management and internal/external stakeholders.
• Confidentiality: Ensure the security and confidentiality of information in the CEO’s office.
• Custody of Confidential Items: Maintain custody of confidential items, including the Board minutes book.
• HR Administration: Assist in HR-related tasks such as recruitment, onboarding, employee relations, performance management, and compliance with HR policies and regulations.
• Policy Implementation: Support the implementation of HR policies and procedures and ensure adherence to best practices and legal requirements.
• Employee Support: Provide support to employees regarding HR inquiries and issues, ensuring a positive and productive work environment.
• Additional Duties: Perform any other duties as assigned by the CEO.
Requirements
Qualifications:
• Minimum grade of Mean C- or equivalent.
• Diploma in Business Administration or related office administration field from a recognized university.
• Professional qualification in Secretarial skills preferred.
• Strong understanding of Human Resource principles, practices, and regulations.
• 3 years of experience as an Executive Assistant in a dynamic organization.
• Prior experience in HR or a related field is highly desirable.
